| The purposes for which we collect and process your personal data are | 1. To provide membership services to you; including sending you news and information relevant to you as a member of HOHSG and facilitating your attendance at meetings, events and training run by us

| Using your personal information for other purposes | We will not process your personal data for any other purpose than that for which it was collected, without first providing you with information on that other purpose and seeking your consent if applicable; except were we are required to disclose your personal data by law, for example in relation to the prevention and detection of crime, counter terrorism, safeguarding, legal proceedings or to protect the interests of you or another. |

| Am I required to provide HOHSG with my personal data | No. We can accept applications for membership without the need for an individual’s name, but contact details are required if you wish to be informed of our events and activities. |

| Can I withdraw my consent for processing | You can withdraw your consent for the processing of your personal data at any time by contacting the Data Privacy Officer. |
| Who we will share your personal data with | Elected and nominated officials of the organisation (members of the Executive Committee) only.
Your personal data will not be supplied to third parties except where we are under a legal obligation to do so. |
| Transfers of personal data to a third country | No data is held or transferred outside the EEA.
Personal information which you publish on our website or submit for publication on our website may be available via the internet around the world. We cannot prevent the use of such information by others. |
| How long we will retain your personal data for | Your personal data will be securely disposed automatically after 2 years in terms of mailing lists, and not later than 12 months after the non-renewal of membership, unless you give us permission to retain it longer for a specified purpose. |
| What are my rights in relation to my personal data? | You have the following rights:
1. access – to request a copy of the personal data we hold about you; 2. rectification – to request that we correct data which is inaccurate or incomplete; 3. object – to object to or restrict processing in certain circumstances; 4. portability – a right of data portability in certain circumstances; 5. to be forgotten – to request that data we hold about you is erased in certain circumstances. To exercise any of these rights you should contact the Data Privacy Officer. |
| Who can I complain to? | If you are dissatisfied with how we have processed your personal data you can contact the Data Privacy Officer to request an internal review.
